Close a bill
Closing a Bill in qoda.ly finalizes a customer’s order and indicates that all transactions are complete. It’s a crucial step, so understanding the requirements and limitations is essential.
Before you start
- Zero or negative balance: a Bill can only be closed if the total due amount is zero or negative (overpaid).
- Final payments: ensure all necessary payments have been processed or a discount has been applied to cover any outstanding balance.
- No further edits: once a Bill is closed, you cannot add or remove items, or apply additional discounts.
Steps
- Open the running bill: locate the customer’s Bill and ensure it is in the “running” state.
- Verify balance: confirm that the due amount is zero or negative. If not, apply payments or discounts as needed.
- Close the bill: click the “Close Bill” button at the top of the right sidebar.
- Confirm the popup.
Important notes
- Irreversible action: closing a Bill is permanent. Consider carefully before confirming.
- Refunds: closed Bills can still be fully or partially refunded if necessary.
- Automatic closure: at the end of the day, all running and paid Bills are automatically closed by the system. This ensures accurate reporting and accounting.
